Every law firm is different and so is their need to securely dispose of legal files. For that reason, we offer two types of shredding options: One-time Purge and Scheduled service.
One-time shredding is for those legal offices that don’t need to destroy documents that often. Our one-time or purge option involves the secure destruction of client files only when called and requested. This might be once a year or on an occasional basis throughout the year, depending on your unique needs.
Scheduled shredding is a consistent service that occurs on a regular basis. Time Shred will provide your legal office with lockable containers that will be placed in central locations throughout your office, for easy access by all of your staff. All papers for destruction will now be placed into the security containers and never again in the regular trash. Once the containers are at capacity and your scheduled date for destruction arrives, we’ll come to your location on an ongoing schedule to empty and shred the contents of each container. You may select a weekly, bi-weekly, every four weeks or monthly schedule.
The responsibility for closed legal files will require space to store the documents whether it is in your office or at an off-site facility, or both. In most cases when a file has been closed, the ability to bill the client for the services goes away. Without a file destruction policy in place your firm is an unpaid repository for the file. Storage of old files costs money and it does not go away until you destroy the files.
Depending on what type of law your firm is dedicated to, you will fall under one or more of the different privacy laws. For example, attorneys that practice real estate law or offer financial planning services must comply with the Gramm-Leach-Bliley Act (GLB). Some law practices, like health care or malpractice attorneys, are subject to the Health Insurance Portability and Accountability Act (HIPAA). HIPAA’s Privacy Rule states that covered entities and business associates must implement appropriate administrative, technical and physical safeguards to protect the privacy of protected health information (PHI).
