Do it Yourself Shredding, Think Twice

Purchasing a small shredder for your office or home may seem like a good idea because you can shred whenever you want and it is relatively inexpensive.  You are going to be surprised to learn that it’s actually not; here is why.

avoid self shredding

Problem: Employee Time

Let’s face it; those small shredders are very slow since you can only feed a few pieces of paper through them at a time.  Think of how much time will be wasted by one of your employees having to take on that responsibility.  Now think of what else they could be doing for your company.  They could be assisting customers to bring in more business or performing other office duties that benefit your company like collecting outstanding accounts receivable.

Solution:  Hire a professional shredding service that will provide secure containers for your staff so that documents can be placed inside for destruction.  With this solution, the only time your employees will spend in relation to documents is those few seconds it takes to place paper into the secure containers

Problem: Additional Employee Cost

You are paying an employee a salary that is feeding that small shredder.  Since they can’t do other things when they are shredding, you may have to hire someone else to assist with the office functions or pay that employee to work additional time to complete their responsibilities.  Either way it is costing you money.

Solution: When you hire a document destruction company, they do all the work and all the shredding.  You will not incur any employee costs to securely destroy any of your business records.

Problem: They Lack Power

Those small office shredders are not that powerful and cannot destroy many common paper fasteners such as staples, rubber bands, binder clips, paperclips, etc.  These items must be removed by hand from documents before you can feed the paper into the personal shredder.  Think of how much time will be wasted by doing such a menial task.

Solution: On-site shredding services have trucks that are equipped with industrial shredders that will destroy all types of paper fasteners so you or your staff will not have to remove them.

Problem: Security Concerns

Do-it-yourself shredding lacks the necessary security controls to protect confidential information.  Documents may not be secured properly or documents may just be piled up near the in-office shredder waiting to be destroyed. This situation increases the risk of a data breach because they can be seen or stolen by anyone coming into your office. A data breach can damage a firm’s reputation, cause a loss of customers, and can lead to the possibility of fines and sanctions.

Solution: A professional mobile shredding company will provide you with security containers so your papers will be protected at all times until they are shredded.

Problem: Proof of Destruction

Privacy Laws require your company have proof of destruction; to be compliant, that means you are required to document that your business files have been securely destroyed.  In-house shredding is often random and not logged properly if at all.   Without a record of destruction you could be fined.

Solution: Document destruction professionals will provide a Certificate of Destruction after every shredding service that will satisfy your proof of destruction requirement.

Problem: Small Shredders Require Maintenance and Repairs

Shredders you buy at an office supply store are not made for heavy office use.  They jam and break down often because they can’t handle the everyday document destruction needs of most companies.

Solution:  When you hire a shredding service, they maintain their equipment so it is one less thing you have to worry about.

Problem:  It is time for a large file clean out or your annual file purge is around the corner.  That office shredder is not going to cut it because it is going to take forever to complete the task.

Solution: The equipment used by mobile shredding services is very powerful and can shred thousands of pounds of paper per hour.  They can destroy in minutes what will take you weeks to do with that small shredder.
